The Front Desk, Automated

For the people who answer the phone and fill the diary. You will know how to answer every call, book every patient and bring back those who stopped coming.

About this course

Most of a practice's revenue is won or lost at the front desk. This course is three webinars on the desk, with the essays that put numbers on it: every call answered, one night shift with Henry, and a hundred bookings recovered with one technique.

Each module is a recording with its worksheet, or an essay. At the end of every module there are two questions to check yourself against and one exercise to do on your own data. You can take the modules in any order. Your progress is saved on this device.

What you need before you start

  • A call log export from your phone system, covering one month
  • Read access to the booking system
  • A list of patients who have not been seen in the last twelve months

  1. 1What can an AI receptionist actually do?Essay, 7 min readMost AI receptionists are a voice layer over the booking system. They know the diary and not the medicine, and the money is in eligibility and empty slots.
  2. 2Never Miss a Call AgainRecording and worksheet, 45 min, opens 7 Oct 2026Every call answered, every enquiry replied to, every booking made, including the ones at lunch and after five. wai Admin, live, on a clinic's phone line.
  3. 3Our AI Agent Henry Made $10k in One ShiftRecording and worksheet, 45 min, opens 4 Nov 2026One overnight shift at one clinic. Every call and every booking Henry took between six in the evening and eight in the morning, and what it added up to.
  4. 4We Recovered 100 Bookings Using One TechniqueRecording and worksheet, 45 min, opens 13 Jan 2027Recall and reactivation, built live for three clinic types. The patients who should have come back and did not, found, contacted and booked.
  5. 5How do you reduce no-shows?Essay, 7 min readNo-shows run 13 to 19 percent at about 196 dollars a slot. Reminders take 29 to 36 percent off that, and the slot still empties after a cancellation.

What you will be able to do

  • Know what an AI receptionist can answer and what it cannot.
  • Read your own call log and find the hours you miss.
  • Put a value on the calls that come in after hours.
  • Run a recall on your own patient list and count the bookings.

Who it is for

  • Practice managers
  • Owners deciding whether the next hire is clinical or front-of-house
  • Anyone who has been quoted a missed-call figure and wants their own

Certificate

When every module is marked done, ask for the certificate at the bottom of the last one. It arrives by email with the date and what the course covered. There is no score, because there is no test. You do the exercises on your own data.

Questions

Our phone system will not export a call log.

Every cloud provider has one, usually under reporting rather than admin. If yours genuinely cannot, one week read by hand from the analytics page is enough for module two.

Is this only for practices with a call centre?

The opposite. It is built for practices where the front desk is two or three people.

When it opens

The next module opens 7 Oct 2026. The newsletter carries each one the day it does.
