Key points
- Over 80% of 1,692 US physicians surveyed by the AMA in early 2026 use AI in their professional work, double the share in 2023.1
- In one academic health system an ambient scribe cut time in notes per appointment by 20.4% and after-hours work by 30%.4 In another, adopters generated 1.81 more RVUs a week with no rise in claim denials.3
- Across 21 randomised studies, appointment reminders cut no-shows from 21% to 15%.5
- Put every part of the day on one patient record, with AI drafting and a person approving each step.
- Start with the consult note and the inbox, then add booking, payment and the patient's own record.
Summary
AI now drafts the consultation note, letters, codes and a reply to every patient message, runs booking, reminders and payments, and keeps the patient's own record current, with a person approving each step. Start with the consult note and the front desk inbox, where the time savings are best measured, on one patient record from the first day.
Notes are signed before the clinician leaves, and every patient message has a reply the same day. Each step from the first WhatsApp message to the signed referral letter is drafted by software and approved by the team, so clinicians see more patients and finish on time.

AI in private practice is already normal
In a survey of 1,692 US physicians in January and February 2026, the AMA found that over 80% use AI in their professional work, double the share in 2023.1 Seven in ten saw opportunities for AI to automate clinical and administrative tasks.1
In a Deloitte survey of 180 health system executives in six countries in late 2025, about 30% ran generative AI at scale in select areas and 2% had deployed it across the whole enterprise.2 More than 90% said improving productivity is a priority for 2026.2 A clinic with one site and one diary can put AI into every part of its day in weeks.
The consultation, the letter and the code
An ambient scribe listens to the consultation, in the room or on video, and drafts the note in the clinician's structure for the clinician to review and sign. In a pre and post study of 46 clinicians across 17 specialties in a Philadelphia academic health system in 2024, time in notes per appointment fell by 20.4%, from 10.3 to 8.2 minutes, and after-hours work fell by 30%, from 50.6 to 35.4 minutes a day.4
The same consult then becomes the referral letter, the patient letter and the suggested codes. In one US health system, physicians who adopted an ambient scribe generated 1.81 more relative value units a week than those who did not, with no rise in claim denials.3 That was an observational study in a single system and counts as category evidence. See the referral letter and undercoding.
In wai the signed note and everything drafted from it sit on the same patient record as the front desk, so the clinician signs once and everyone downstream works from the signed version.6
The front desk and the diary
Keep WhatsApp, email, web forms and calls in one thread per patient. wai drafts each reply in the clinic's voice, a missed call becomes a drafted text, and the team approves before anything sends.7 See human approval before a clinic message sends.
Booking reads each clinician's busy times from Google Calendar, Outlook or Apple Calendar, so patients are only offered open times. Every confirmed visit is reminded, and a cancelled slot is offered to the waitlist.7 In a BMJ Open meta-analysis of 21 randomised studies, patients sent reminders were 23% more likely to attend, and no-shows fell from 21% to 15%.5
Booking, payment and the claim
With wai Checkout a patient sees the earliest time first on the clinic's own website, books in three taps and pays by card or Apple Pay into the clinic's own Stripe account, with the clinic as merchant of record. Checkout has no wai subscription or setup fee, and card payments run at Stripe's published rate.
Deposits, invoices and memberships are handled on the same record, codes are drafted from the signed note, and claims are prepared for insurers for the team to check and submit.7 Billing matches the signed note because both come from the same record.
The patient's own record
Every patient who books receives a wai Profile with their results, letters, prescriptions and readings from devices such as Apple Health, Oura, Fitbit and glucose monitors. Patients can ask about their own results and get cited answers, with a clear line to a clinician when it matters.
Each permission is explicit and revocable, the patient can export or remove the record, and the data is never sold or used to train external models. Patients see their letter and book their follow-up without a phone call.
What one record makes possible
A reply drafted on one record already knows the last letter, the outstanding invoice and the next appointment, and a code drafted from the signed note needs no re-keying. See running the clinic on one platform.
Where to start
For one week before changing anything, measure minutes in notes per appointment, the share of notes closed the same day, time from a patient's message to the reply, and the no-show rate. Then give the ambient note to two clinicians for two weeks and turn on drafted replies for the three message types that fill most of the inbox.
In the second month add the booking page, deposits and reminders, then invite patients to their Profiles. Re-measure the same four numbers at thirty and ninety days. The clinic AI implementation plan turns this into a week by week schedule, and wai prices are published on the pricing page.

Frequently asked questions
What can AI do for a private practice today?
It can draft the consultation note, letters and suggested codes, prepare replies to patient messages, run booking, reminders and deposits, prepare claims and keep the patient's own record current. A clinician signs anything clinical and the team approves anything operational.
Where should a small clinic start?
With the consult note and the front desk inbox. Those two carry the best measured time savings, and both can be trialled with two clinicians and three message types.
Does the AI talk to patients on its own?
No. wai drafts each reply in the clinic's voice, and a person at the clinic approves it before it sends.7 Clinical questions go to a clinician.
How much does it cost?
wai prices are published on the pricing page. One clinician can try the clinical workspace for seven days with limited use, Checkout has no wai subscription or setup fee, and Admin is priced per location and starts with a demo and a scoped pilot.
Where is our patient data held?
wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. Patient data is never used to train models.
