Key points

Summary

A Scottsdale clinic can use AI for notes and the front desk in 2026 under HIPAA and Arizona's own record, retention and recording statutes. Records stay confidential and in the United States for at least six years, a party to the consult consents to the recording, and a clinician signs every note.

Scottsdale clinics now answer every enquiry before the next morning, and every surgical patient arrives having read the consent material in advance. Arizona's statutes are short and clear about records, retention and recording.

The private care market in Scottsdale

Scottsdale had an estimated 243,006 residents on 1 July 2025, within a Maricopa County of 4,689,558.7 Health care and social assistance businesses in the city took $5.18 billion in receipts in 2022, about one dollar in nine of the county's $46.2 billion, for a city with one resident in nineteen.7

The patient base is older and better insured than the county around it. 26.4% of residents are 65 or over, against 17.7% across Maricopa, and 6.7% of those under 65 have no health insurance, against 12.6% county-wide.7 The median household income was $110,886 in the 2020 to 2024 survey.7

Allopathic physicians are licensed by the Arizona Medical Board, whose mission is to protect public safety through the judicious licensing, regulation and education of all allopathic physicians.1

The rules a Scottsdale clinic works under

HIPAA sets the federal floor, and four Arizona statutes add the local detail.

ARS 12-2292 makes all medical records and payment records privileged and confidential, and lets a provider disclose them only as state or federal law allows or with the patient's signed written authorisation.2 ARS 12-2297 sets retention at six years after an adult's last visit, and for a child the later of three years after their eighteenth birthday or six years after the last visit, with source data kept six years from collection.3

ARS 13-3005 makes it a class 5 felony to intercept a conversation at which a person is not present without the consent of a party to it, so a consult may be recorded with the consent of someone taking part.4 Clinics still ask the patient before the scribe starts, and the guide to US recording laws covers patients calling from California and other all-party states.

Before breast implant surgery, ARS 32-3228 requires the physician to give the patient written or electronic risk information, the manufacturer's materials and the informed consent checklist developed by the Arizona Medical Board with the osteopathic board, and to obtain written consent.5 A physician who knowingly skips it commits unprofessional conduct.5

wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Scottsdale. For a Scottsdale clinic, records stay in the United States, every access is logged, and the clinic keeps them for as long as ARS 12-2297 requires.

The languages Scottsdale patients write in

13.0% of Scottsdale residents aged five and over speak a language other than English at home, half the 26.0% across Maricopa County, and 11.4% were born abroad, in the 2020 to 2024 American Community Survey.7

wai works in any language.8 Each reply is drafted in the patient's language and sent after a member of the team approves it.

What a demo shows in Scottsdale

The demo starts with a web enquiry sent at 9:15pm asking about a breast surgery consultation in the next fortnight. wai reads it in the patient's thread, checks the surgeon's busy times in Google Calendar, Outlook or Apple Calendar, and drafts a reply with the two earliest open slots. The coordinator approves it the next morning.

The booking link takes a consultation deposit in US dollars through the clinic's own Stripe account, with the clinic as merchant of record. The patient receives a confirmation, a receipt and an intake questionnaire, and the clinic sends its ARS 32-3228 materials in electronic form well before surgery day.5

After the consult, the surgeon reads the drafted note and letter, edits and signs, and the signed note sits on the patient's record.

For health systems, employers and insurers in the Valley

Arizona's insurers will need an Arizona-licensed medical director to personally review every denial based on medical necessity from 1 July 2026, exercising independent medical judgment rather than relying solely on algorithms or automated systems.6 Health plans, hospital groups and employers across Maricopa County can have a system of their own built on wai for that kind of reviewed workflow, under their brand, with data and model rights agreed in the contract. Details are on the organisations page.

Where to start

First, set the clinic's retention schedule to ARS 12-2297, six years after an adult's last visit and longer for children, and ask confirm in writing.3 Second, add a recording question to intake so each patient agrees before the scribe starts.

Third, for surgical services, send the Board's checklist and the manufacturer's materials electronically as soon as surgery is booked.5 Fourth, count last month's enquiries by channel and hour, so the demo runs on the clinic's own evenings.

Send us last month's evening enquiries, and we show the consult diary they would have filled.
