A clinician at ease in a vast, light-filled private clinic in Fort Lauderdale, the city beyond the glass

Key points

Summary

A Fort Lauderdale clinic works under HIPAA, the Florida Board of Medicine and, unless its physicians own it outright, a state clinic licence for each location. Florida asks for every party's consent before a recording. Broward patients write in Spanish, Haitian Creole and Portuguese, and wai drafts each reply for a person at the clinic to approve.

A Haitian Creole voicemail left at lunchtime becomes a drafted text the desk approves in one tap, and a Portuguese enquiry from Pompano Beach is booked before evening. The physician signs every note before going home. Florida's clinic licensing and recording rules frame that day in Broward.

The private care market in Fort Lauderdale

Florida Department of Health figures presented to the Florida Senate counted 5,275 physicians in Broward County in 2021 to 2022, at 270.9 per 100,000 residents, second only to Miami-Dade.1 Broward also had 1,628 primary care physicians in 2020 to 2021, at 83.3 per 100,000.1

The Census Bureau's 2023 County Business Patterns counted 7,580 health care and social assistance establishments in Broward, with 118,070 paid employees and an annual payroll of about $7.74 billion.2 Fort Lauderdale itself had 185,604 residents in the 2020 to 2024 survey, and 13.6% of its civilian noninstitutionalized population had no health insurance.4

The rules a clinic in Fort Lauderdale works under

Physicians are licensed by the Florida Board of Medicine.8 Protected health information falls under HIPAA.

Section 400.991, part of the Health Care Clinic Act, says a licence from the state agency is required to operate a clinic in Florida, and each location is licensed separately even under the same name or management.5 Section 400.9905 defines a clinic as an entity that provides health care services and tenders charges for reimbursement.6 It excludes a practice that is wholly owned by its licensed physicians, or by a physician with a spouse, parent, child or sibling, and directly supervised by them.6 Ownership decides which side of that line a clinic sits on, so confirm it before a second location opens.

Florida asks for everyone's agreement before a conversation is recorded. Section 934.03 makes interception lawful once all parties have given prior consent.7 wai takes recording consent at booking.9

Florida hospitals send admission, transfer and discharge data to the state's Florida Health Information Exchange program under section 408.051.11 wai is built to connect to the Florida Health Information Exchange. We set up your clinic's connection with you.

wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Fort Lauderdale. Before Checkout goes live, the clinic and wai sign a business associate agreement.10

The languages patients write in

The 2024 American Community Survey counts 1,929,058 Broward residents aged five and over, of whom 568,414 speak Spanish at home, 29.5%.3 Haitian follows with 124,013 speakers, 6.4%, then Portuguese with 42,523, 2.2%, and Russian with 16,254.3

In the City of Fort Lauderdale, 17.7% speak Spanish at home and 6.4% speak French, Haitian or Cajun, and 4,570 of those Haitian and French speakers report speaking English less than very well.4 wai works in any language, and patients can answer intake questions by voice in their own language for the clinician to read in English.9

What a demo shows in Fort Lauderdale

At 12:40 a patient from Lauderhill calls while the desk is at lunch. wai drafts a text back in Haitian Creole, the front desk approves it, and the reply lands in the same thread as her earlier emails. A two-minute response clock shows on every new enquiry, so nothing waits unseen.9

In the afternoon a Brazilian patient in Pompano Beach writes in Portuguese on WhatsApp to book a first visit. wai reads the doctors' busy times in Google Calendar, Outlook or Apple Calendar, drafts a reply with two open times, and the coordinator approves it. She books on the clinic's website in three taps and pays the deposit through the clinic's own Stripe account.10

After the visit the note is drafted, and the physician reviews and signs it. See how missed calls are followed up in missed call follow-up for clinics.

For health systems, insurers and public bodies in Broward

Public hospital districts, health plans and multi-site groups in Broward can have wai build one pathway of their own, such as multilingual follow-up after a hospital stay. Data and model rights are agreed in the contract first, and the organisations page describes how a build starts.

Where to start

First, check the clinic's ownership against section 400.9905 and confirm whether each location holds, or is exempt from, a state clinic licence.56 Second, add an all-party recording line to intake and train the desk to ask companions too.7

Third, sort last month's enquiries by language, Spanish, Haitian Creole, Portuguese and English, and bring the counts to a fifteen-minute demo. Prices are on the pricing page.

Bring last month's Spanish, Haitian Creole and Portuguese enquiries and watch each one drafted for your team.
