Key points

Summary

A Copenhagen clinic can use AI for notes and patient messages in 2026 when the treatment site is registered with the Danish Patient Safety Authority, every entry shows who wrote it and when, and nothing in the record is ever deleted. Datatilsynet supervises the data under the GDPR, and sundhed.dk is the public health portal where patients see their care.

Copenhagen clinics on wai answer the evening's messages before the morning bike rush and leave with every note signed. The Danish Patient Safety Authority, the journal order and Datatilsynet set the terms, and the city's own key figures show who the patients are.

The private care market in Copenhagen

Copenhagen's population has grown by 41% since 1996, and the municipality expects almost 44,000 more residents over the next ten years.1 It is the youngest municipality in Denmark, with an average age of about 37, yet the number of residents over 80 is expected to rise by 41% by 2036.1

International workers made up almost 17% of the city's labour force in 2025, against 11% in 2015, and in 2024 Copenhagen hotels recorded 4.8 million overnight stays by guests from the rest of Europe and 1.8 million from the rest of the world.1 Clinics here serve residents, newcomers and visitors from the same inbox.

The rules a Copenhagen clinic works under

The Danish Patient Safety Authority, Styrelsen for Patientsikkerhed, keeps the register of authorised health professionals and supervises treatment sites.3 Every private, municipal, regional and state treatment site must be registered in its Behandlingsstedsregistret as part of that supervision, and each pays an annual fee set by its category.2

The journal order sets the record. Order no. 1361 of 24 November 2025 requires each patient contact to show who had it, by name or other unique identification and title, and when.4 Information in the record may never be deleted or made illegible, corrections must keep the original text and show who made them and when, and in an electronic record the original version stays available.4 In wai the clinician signs each note, and every edit, approval and signature is logged to a name and a time.

Clinics where doctors treat patients keep records for at least ten years from the latest entry, even after the patient has died, and longer while a complaint or claim is pending.4 The duty continues if the clinic closes.4

Datatilsynet is the Danish supervisory authority under the GDPR and sits on the European Data Protection Board with the other EU authorities.56 The clinic tells the patient before the scribe starts and records only with agreement, and the consent form template gives the wording.

sundhed.dk is the public digital entrance to Danish health care, owned by the state, the municipalities and the regions.7 wai is built to connect to sundhed.dk. We set up your clinic's connection with you.

wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Copenhagen. A Copenhagen clinic keeps its records in Denmark.

The languages Copenhagen patients write in

Danish statistics count origin, which is the nearest official guide to the languages a clinic receives. On 1 January 2026, 29% of Copenhageners were immigrants or descendants, most of them of non-Western background, against 17% for Denmark as a whole.1

wai handles any language, so the coordinator approves each draft in the language the patient chose to write in.8

What a demo shows in Copenhagen

The demo opens on an email sent at 22.05 by a researcher who moved to Østerbro for a two-year contract and wants a first consultation for herself and her partner. A second message is a missed call at 7.55 from a patient in Valby, which wai turns into a drafted text offering a callback.

wai places each message in the right patient's thread, reads the doctors' busy times from Google Calendar, Outlook or Apple Calendar and drafts both replies in the language they arrived in. The clinic coordinator approves them before the first appointment. The couple pay a deposit in Danish kroner by card or Apple Pay, the clinic is the merchant of record on its own Stripe account, and the intake questionnaire comes with their confirmation and receipt.

Once the patients have left, the doctor reviews the draft, corrects it where needed and signs. Any later correction leaves the original visible with the name and time of the change, as the journal order requires.4

For health systems, regions and insurers in Copenhagen

Private hospital groups, insurers and public services in the capital area can own a branded system built on wai with its data held in Denmark. It begins with one pathway and the figures that will show whether it works, and data, configuration and model rights are fixed in the contract, as the page for health systems and governments lays out.

Where to start

First, check that the clinic's registration in the Behandlingsstedsregistret is current, including after any change of ownership or CVR number.2 Second, test that a corrected note keeps its original text and shows who changed it and when.4

Third, set retention to at least ten years from the latest entry, with a hold for pending complaints.4 Fourth, write the line each doctor says before recording. List the messages and missed calls that reached the clinic after closing last month and bring the list to a Copenhagen demo. The Danish rules on this page were checked on 15 October 2026, and the clinic's own adviser should confirm them for its situation.

Send us last month's evening messages and missed calls, and we show the drafts your coordinator would have approved by eight.
