Key points

Summary

A Brussels clinic can use AI for notes and patient messages when each doctor is on the Order's register, health data is handled under the GDPR with the APD-GBA as supervisor, and patients are told when AI and recording are used. Under wai, a Brussels practice keeps its records in Belgium, its receptionist approves each AI-drafted reply and its doctors sign their own notes.

Overnight messages answered in the language they arrived in, and the morning's letters signed before lunch. In Brussels that runs through the Order of Physicians, the Data Protection Authority, the Brussels Health Network and a region where two official languages meet about a hundred spoken ones.

The private care market in Brussels

IBSA, the Brussels statistics institute, counted 1,255,834 residents in the region on 1 January 2026, only 39 more than a year earlier, after thirty years of steady growth.1 At 31 December 2020, 7,883 Brussels residents had the right to practise as general practitioners or specialists, a count that leaves out doctors who live outside the region and work in it.2

Many of those doctors work in small practices with one person at the desk. A reply drafted overnight and approved at opening fills the day's open slots before the first consultation.

The rules a clinic in Brussels works under

Registration with the Order of Physicians is a legal requirement for every doctor practising medicine in Belgium, whether temporarily or permanently, and the Order works through a national council and provincial councils.6 Health care in the region is a community matter, handled by the French-speaking and Flemish communities, with the Common Community Commission (COCOM) covering matters common to the bilingual region.4

Patient data falls under the GDPR, supervised by the Autorité de protection des données, the Gegevensbeschermingsautoriteit in Dutch, from Rue de la Presse 35 in Brussels.7 The authority notes that the AI Act entered into force on 1 August 2024, that its interplay with the GDPR is complex, and that anyone building or running AI systems must still respect data protection principles.8 The European Commission's timeline makes the AI Act applicable from 2 August 2026, with its transparency rules taking effect that month.11 Before the microphone runs, the doctor asks, and the patient's choice goes into the file.

The federal eHealth platform is the portal care providers use to exchange data with federal public institutions.10 Regionally, the Brussels Health Network run by Abrumet brings together every public and private hospital in Brussels and the French-speaking and Dutch-speaking GP associations, and patients can open blood results, radiology reports and hospital reports on their phone.9

wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Brussels. wai is built to connect to the Brussels Health Network. We set up your clinic's connection with you.

The languages Brussels patients write in

The region has two official languages, French and Dutch, and the regional government counts more than 183 nationalities and about a hundred languages spoken in Brussels.5 IBSA's own count found that 62.8% of residents held Belgian nationality on 1 January 2024, with 185 other nationalities making up the rest.3

wai works in any language.12 Mixed-language weeks make a fair test, so the demo runs on the enquiries the receptionist actually received.

What a demo shows in Brussels

A WhatsApp message arrives at 22:40 from a patient who works near Rond-Point Schuman and wants a Saturday appointment before a Monday flight. Only the doctor's busy blocks are read from Google Calendar, Outlook or Apple Calendar, so the reply wai drafts offers Saturday times that are genuinely open, and the receptionist approves it at 8:00. Choosing a slot on the practice website, the patient pays a euro deposit by card or Apple Pay, and the money lands in the practice's own Stripe account.

If the phone rings out during the morning list, a text is drafted into the thread that already holds the patient's emails. The note and referral letter wait for the doctor's signature once the patient leaves, and the clinic can export a log of every draft, approval and signature. Pricing for Brussels practices follows the published price list.

For hospital networks, mutualities and public bodies in Brussels

Hospital networks, mutualities and regional bodies can have wai built around one defined care pathway, with data, configuration and model rights and exit terms agreed in the contract before anything goes live. Every clinical note is still signed by a clinician. The organisations page explains how a build starts.

Where to start

First, confirm that every doctor who will sign AI drafts is on the Order's register.6 Second, add the AI processing to the clinic's GDPR records, naming each subprocessor, and put a recording and AI notice on the intake form using the consent form template.8

Third, write down who approves each patient message and who signs each note. Fourth, pick the ten enquiries that took longest to answer last month and bring them to a fifteen-minute demo.

Bring the enquiries that sat unanswered over a weekend, and watch each become an approved reply, with the hosting arrangements shown alongside.
