Key points

Summary

A Brisbane clinic can run AI in the consult and at the front desk today, with an explicit consent step, a clinician signing every note and records held in Australia. The rules that shape it are Ahpra's AI guidance, Queensland's Invasion of Privacy Act, the Information Privacy Act for public health services and the My Health Records Act.

Brisbane GPs finish the day with every note signed, and patients who write in Mandarin or Vietnamese at night have a reply waiting for the team to approve at eight. wai drafts both, a person at the clinic approves, and the records stay in Australia under Queensland and federal law.

The private care market in Brisbane

Greater Brisbane had 2,526,238 residents at the 2021 Census, and 857,050 of them, 33.9%, had both parents born overseas.1 General practice carries most of their care.

The Department of Health's 2024 supply and demand study estimates Queensland's unmet demand at around 325 full time GPs in 2024, rising to over 380 by 2028 and over 660 by 2048.2 The same study places Queensland, with New South Wales and Victoria, at the lowest shortfall of any state in 2024, at 5%.2 Every hour a GP gets back from notes goes straight into that gap.

The rules a clinic in Brisbane works under

Doctors register through Ahpra and the Medical Board of Australia. Ahpra's AI guidance holds the practitioner responsible for safe care whatever technology is used, and says practitioners must apply human judgment to any output of AI, with informed consent before a scribe records.6

Complaints work differently in Queensland. The Office of the Health Ombudsman is the place to contact about any health service in the state, so a patient's concern about a clinic goes there first.5 A full log of who drafted, approved and signed each item is what answers it.

Recording is set by Queensland law. Section 43 of the Invasion of Privacy Act 1971 makes it an offence to record a private conversation with a listening device, with a maximum of two years' imprisonment, and exempts a person who is a party to the conversation.4 Clinics still take consent before recording, because Ahpra expects it.6 wai takes the patient's recording consent at booking.

Public services carry their own statute. The Information Privacy Act 2009 requires each agency to comply with the Queensland Privacy Principles in schedule 3, treats the health department and every Hospital and Health Service as a health agency, and sets a mandatory scheme for eligible data breaches.3 Section 33 limits disclosure outside Australia to listed grounds, and section 35 requires an agency to bind a contracted service provider to the principles as if it were the agency.3

Federal law adds a residency rule for the national record. Section 77 of the My Health Records Act 2012 is headed as a requirement not to hold or take records outside Australia.7 wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Brisbane. wai is built to connect to My Health Record. We set up your clinic's connection with you.

The languages Brisbane patients write in

The 2021 Census found 77.3% of Greater Brisbane residents using only English at home. The next five were Mandarin with 64,045 people, Vietnamese with 26,607, Punjabi with 22,507, Cantonese with 21,694 and Spanish with 19,467.1

wai works in any language, and every reply it drafts goes to the team before it sends.8 Test it on a month of your own messages.

What a demo shows in Brisbane

The demo starts with a WhatsApp message sent at 9pm from Sunnybank asking to bring a child in for a sports injury review this week. wai reads each GP's busy times from Google Calendar, Outlook or Apple Calendar, offers only open slots and drafts the reply, and the front desk approves it when the clinic opens. A missed call to the New Farm rooms at lunch becomes a drafted text in the same thread.

The patient books, agrees to recording at booking and answers the intake questions by voice in their own language, and the GP reads the answers in English before the visit. During the consult the note and the referral letter are drafted, and the GP signs both. A deposit in Australian dollars lands in the clinic's own Stripe account.

For health systems, governments and insurers in Brisbane

A Hospital and Health Service needs a contractor it can bind under section 35, with records in Australia and an exportable audit log.3 wai builds one defined pathway with the service's own clinical and procurement teams, covering clinical documentation and patient contact on one record, with data, configuration and model rights agreed in the contract. See wai for health systems and governments.

Where to start

First, write the consent line taken at booking and repeated in the room, using the consent form template. Second, get the hosting country and every subprocessor in writing, and file them with the data residency checklist.

Third, set who approves drafted replies at the desk and who signs notes, so an Ombudsman query can be answered from the log. Fourth, list a month of Brisbane enquiries by language and time of day. Book a Brisbane demo and bring that count.

Bring a week of Brisbane enquiries, in the languages they arrived in, and see the drafts your desk would approve.

Frequently asked questions

Can a Brisbane GP record a consult without asking?

Section 43 of Queensland's Invasion of Privacy Act exempts a party to the conversation, but Ahpra expects informed consent before an AI scribe records, so clinics ask every time.46

Where do Queensland patients complain about a clinic?

To the Office of the Health Ombudsman, which handles complaints and notifications about health services in Queensland.5

Do the Queensland Privacy Principles apply to a private clinic?

They bind Queensland agencies, including Hospital and Health Services, and contractors bound under section 35.3 A private clinic follows the federal Australian Privacy Principles.

Can My Health Record data sit offshore?

No. Section 77 of the My Health Records Act sets a requirement not to hold or take records outside Australia.7

Who sends the replies wai drafts?

A person at the clinic. wai drafts each reply in the clinic's voice, the team approves it, and clinical questions go to a clinician.

Can patients write in Mandarin or Vietnamese?

wai works in any language, and each draft goes to the team for approval.8 Bring real messages to the demo.
