Key points

Summary

An Atlanta clinic can use AI for notes and the front desk in 2026 under HIPAA, Georgia's one-party consent rule for sound and the licensing standards of the Georgia Composite Medical Board. Record audio with the patient's agreement, keep any camera in a private room to everyone's consent, and have a clinician sign every note.

Atlanta clinics answer every evening enquiry by morning, take the deposit at booking and sign each note before the next patient sits down. Georgia's rules for that work are clear, and the board that sets them meets monthly in downtown Atlanta.

The private care market in Atlanta

Atlanta had 505,268 residents in the 2020 to 2024 American Community Survey, with 10.1% of its civilian noninstitutionalized population uninsured and 12.3% aged 65 or older.7

Aesthetic and pain care are regulated by the same board. The Georgia Composite Medical Board counted 1,474 cosmetic laser practitioners and 245 registered pain management clinics in January 2024, beside 42,623 physician licences and 7,040 physician assistants.2

The rules an Atlanta clinic works under

HIPAA sets the federal floor. Georgia's own rules come from its medical board and its eavesdropping statute.

The Georgia Composite Medical Board, established under O.C.G.A. section 43-34-1, licenses physicians and other practitioners, enforces the Medical Practice Act and reviews complaints against licensees.1 Its 15 members, 13 of them physicians, meet monthly at 2 Martin Luther King Jr. Drive in Atlanta.1 From 1 July 2026, physician applicants must complete a fingerprint background check through the Georgia Crime Information Center and the FBI.3

O.C.G.A. section 16-11-66(a) allows a person to intercept a wire, oral or electronic communication where they are a party or one party has given prior consent.4 In State v. Cohen in 2017, the Supreme Court of Georgia held that this rule applies to communications only, and that recording the activities of another in a private place still needs the consent of all persons observed under section 16-11-62(2).4 An ambient scribe records sound, and clinics still ask the patient first.

The Georgia Health Information Network, GaHIN, is the State-Designated Entity for Georgia's HIE, a public-private partnership led by the Department of Community Health that connects hospitals, physicians and payers.5 wai is built to connect to GaHIN. We set up your clinic's connection with you.

wai hosts each clinic's records in its own country, under that country's rules. We set this up with your clinic. wai is compliant with these rules and built for clinics in Atlanta. Atlanta records therefore stay in the United States, and the business associate agreement for Checkout is in place before launch.8

The languages Atlanta patients write in

58,480 Atlanta residents aged five and over speak a language other than English at home.6 Spanish leads with 22,212 speakers, or 4.6%, followed by Chinese with 5,527, French, Haitian or Cajun with 4,147 and Korean with 2,892.6

wai works in any language.9 The coordinator approves each draft before it reaches the patient.

What a demo shows in Atlanta

The demo opens on two messages that arrived after 9pm. One is a WhatsApp in Spanish asking about laser treatment before a wedding in June, the other an email in Korean asking for a Saturday dermatology slot. Both drafts sit in their own threads by morning, each offering slots that are open in the dermatologists' Google Calendar, Outlook or Apple Calendar, and the coordinator approves them over coffee.

Payment for the laser deposit lands in the clinic's own Stripe account, by card or Apple Pay, and the clinic stays merchant of record.8 Checkout stores the service booked, never the reason for the visit.8

The clinician then edits the drafted note and aftercare letter and signs both. Two real after-hours enquiries from the clinic's own inbox make the best test.

For health systems, employers and insurers in Atlanta

A Georgia health system or employer starts with a single pathway, such as dermatology follow-up, built on wai and branded as its own. The contract fixes rights over data, configuration and models from day one, and the organisations page shows how a build runs.

Where to start

First, write a one-line recording notice for the consult room, using the consent form template, and keep cameras out of treatment rooms unless everyone present agrees.4 Second, check each practitioner's Georgia licence on the Composite Medical Board's verification tool.1

Third, set a deposit rule for laser and other high-demand treatments, as in the guide to payment links and deposits. Fourth, count last month's after-hours enquiries by language.

Send us last month's after-hours enquiries, and we show the bookings and deposits they would have become.
