Key points
- Every size of practice gets the same finished note. The buying and the measure of uptake are what change as the practice grows.
- A solo clinician starts on a seven-day trial, a small practice buys per clinician, a group pilots per location and a health system buys on Enterprise terms.45
- The share of visits each clinician drafts with the scribe is the number to manage from the first week.
- wai scales the same product from one clinician to Admin per location and Enterprise terms for large organisations.45
Summary
A solo clinician should start on a trial and move to a monthly plan, a small practice should buy per clinician and agree shared templates, a group should run a scoped pilot per location, and a health system should buy on enterprise terms with a security review. At every size, measure the share of visits each clinician actually drafts with the scribe.
At every size of practice, each clinician ends the day with every note finished and the evening clear. From one clinician to a thousand, the work is in the buying and in getting every clinician to use the scribe every day.

| Practice size | What matters most | How to buy with wai | What to measure |
|---|---|---|---|
| Solo clinician | First signed note the same morning, a private patient list, exports on leaving | Seven-day trial with limited use, then a monthly clinician plan | Minutes on notes per day, before and after |
| Small practice, two to ten clinicians | One template owner, letters drafted, notes on the shared record | Clinician plan per clinician, with Checkout for booking and payment | Share of visits drafted, per clinician |
| Group or multi-site clinic | Governance, one record across sites, approval rules | Admin per location, starting with a demo and a 90-day pilot | Revenue, hours saved and patients cared for, by site |
| Health system | Security review, integrations, uptake across departments | Enterprise, by demo, with volume pricing and a success manager | Uptake and note-quality audits, by department |
Uptake decides the return at every size
A scribe returns time on the visits it drafts. In a 24-week randomized trial across ambulatory clinics in two US states, 38% of the 71,487 notes written by 66 practitioners were generated with ambient AI, and time on notes fell by 0.36 hours a day.2 In a 238-physician trial at a US academic health system, the scribes tested were used in 33.5% and 29.5% of visits.1
Run a trial on your own patients and track the share of visits drafted per clinician from the first week.
Solo clinician
The test is speed to a first signed note and freedom to leave. Run a consultation the same morning you sign up, and check that the patient list stays private to you and the notes export cleanly.
wai offers a seven-day trial for one clinician with limited use, then a clinician plan billed monthly and cancelled in settings, with notes and records exportable.5 Prices are published on the pricing page, and what a zero-price AI scribe includes sets out what to check in a zero-price tier.
Small practice
With two to ten clinicians, the scribe becomes part of the practice record. Agree one owner for templates, and make sure the note lands on the record where the rest of the team works.
Buy per clinician, and roll out to two enthusiasts before the rest so the templates are proven in the room. The booking side can join at no subscription cost, since wai Checkout has no wai subscription or setup fee and card payments run through the practice's own Stripe account at Stripe's published rate.4
Group and multi-site clinic
At several sites the decision is governance. Settle who approves templates, and which actions need a person's approval, before the second site goes live.
wai Admin is priced per location and starts with a conversation and a 90-day pilot shaped around the team, so the clinic knows by the end what changed in revenue and hours saved.4 For clinic groups, wai Clinicians seats and payments sit in the same agreement as the build and the monthly fee per site.6 The pilot design is set out in the AI scribe pilot plan.
Health system
In Deloitte's survey of 180 health system executives in six countries, fielded in August and September 2025, about 30% were running generative AI at scale in select areas and 2% had deployed AI across the whole enterprise.3
Buy on enterprise terms. wai offers Enterprise through a demo, with volume pricing, a security review, custom integrations and a dedicated success manager.5 Start with one department, publish its uptake and note-quality audit, and widen from there, as described in AI for hospitals.
Where to start
Find your row in the table below and take the first step it names this week. Before the first consultation, record each clinician's current minutes on notes per day so the change can be measured.
After four weeks, compare the share of visits drafted by each clinician and the minutes on notes against that baseline. Widen the rollout where both moved, and sit with any clinician whose share stayed low before adding seats.
Tell us how many clinicians and sites you run. We show you the setup that fits, on a consultation of your own.
Frequently asked questions
Is an AI scribe worth it for a solo clinician?
It is when it drafts most visits. A seven-day trial on your own consultations shows the minutes saved per day, measured against your baseline.
How should a small practice roll out a scribe?
Start with two clinicians, agree shared templates with one owner, then extend to the rest once the templates hold up in real consultations. Track the share of visits drafted per clinician weekly.
Does a group need a pilot before signing?
Yes. wai Admin starts with a conversation and a 90-day pilot shaped around the team, with the change in revenue and hours saved measured by the end.4
What does a health system need that a clinic does not?
Mainly a security review and integrations with existing records. wai Enterprise includes volume pricing, a security review, custom integrations and a dedicated success manager.5
Who signs the note at any size?
The clinician. wai drafts the note and the letters, and the clinician reviews and signs them. More in who signs an AI clinical note.
