What to look for in a healthcare software partner program

Summary

A strong healthcare software partner program publishes its rate, states what the rate applies to, pays on a clear schedule, protects your introduction and gives you a named contact. wai pays 10 percent of what a clinic pays in its first year for an introduction and 15 percent when you run the sale, paid quarterly, with each introduction registered to you for 90 days.

Clinics ask the firms they trust which software to choose. For an advisor, an IT provider or a billing firm, a partner program turns that trust into a revenue line.

The headline rate is only one of the terms that decide what a partner earns. The base, the timing, the trigger and the protection matter as much, and the best programs publish every one of them.

This is the checklist. Each term below is something a firm should see in writing before it makes a first introduction.

Two kinds of program

Customer referral schemes pay a flat reward, usually a credit or a one-off amount, to a user who recommends the product to a colleague. They suit a clinician telling a peer about a tool they like.

Partner programs pay a firm a share of what the clinic pays. They suit a business that introduces clinics as part of its work, and they come with the terms a business needs, a registration, a named contact and a schedule.

wai runs both. Clinicians refer through the affiliate program, and firms partner through wai Partners.

The terms that decide what a partner earns

The rate is the number on the page. The base matters as much, because a percentage of one product pays differently from a percentage of everything the clinic buys.

Timing comes next. A program should say when it pays and how often, so a firm can plan around it.

The trigger is the term most often missed. A payment due on signature differs from one due on cash collected. Each is reasonable, and each changes the cash flow, so it belongs in writing.

Protection and conflicts

A rate is worth little without protection. The terms a firm should look for are a registration that holds the introduction for a stated period, and a commitment that the vendor will not contact a registered clinic without the partner.

The structure of the fee matters in healthcare. In the US the federal Anti-Kickback Statute prohibits paying remuneration to induce referrals of business payable by federal health care programs, so a fee tied to a software subscription is a different thing from a fee tied to patients. Programs that pay on the subscription, and never per patient, keep that line clear. Any specific arrangement deserves legal advice.

Disclosure applies on both sides of the Atlantic. The FTC expects a paid relationship behind a recommendation to be disclosed clearly, the UK CAP Code requires marketing to make its commercial intent clear, and accountants permitted to take a commission must disclose it under the AICPA code. How wai Partners is built

wai pays 10 percent of what a clinic pays in its first year for an introduction and 15 percent when the partner runs the sale, paid quarterly on cash collected. Each introduction is registered to the partner for 90 days, and nothing is ever paid per patient.

Every partner gets a partner manager, a demo account and material with their name on it. wai's team runs the demo, the setup and the support, so the clinic a partner introduces has a good experience from the first call.

Firms that cannot take fees partner on delivery with no fee involved. Individual clinicians refer through the separate affiliate program, which pays £50 per clinician and 10 percent of a clinic's first Admin deal.

The short answer

Look for a program that publishes every term, protects your introduction and gives you a named person to work with. Get it in writing before the first introduction.

Ten percent for an introduction, fifteen when you run the sale, paid quarterly. The full terms are on the partner page.

Frequently asked questions

What should a healthcare software partner program pay?

A share of what the clinic pays, with the rate, the base and the schedule published. wai pays 10 percent of what a clinic pays in its first year for an introduction and 15 percent when the partner runs the sale, paid quarterly on cash collected.

What is the difference between a referral program and a partner program?

A customer referral program rewards an existing user for recommending the product, usually with a credit or a flat amount. A partner program pays a firm a share of revenue for introducing or selling to clinics, often with a registration period and a named contact at the vendor.

Is it legal to pay a referral fee for healthcare software in the US?

The federal Anti-Kickback Statute prohibits remuneration to induce referrals of business payable by federal health care programs. A fee for introducing a clinic to a software subscription is structured differently from a fee per patient, which is why careful programs never pay per patient. Specific arrangements should be checked with a lawyer.

Do I have to disclose a software referral fee to my clients?

In most cases. The FTC expects material connections behind a recommendation to be disclosed clearly, the UK CAP Code requires commercial intent to be clear, and the AICPA code requires accountants to disclose permitted commissions.

How long should a referral registration last?

Long enough for a clinic to run a demo, a trial and a decision, and short enough that an introduction does not stay open indefinitely. The wai partner program registers each introduction for 90 days. Whatever the period, it should be stated in writing before the introduction is made.

What does the wai partner program pay?

10 percent of what a clinic pays in its first year for an introduction, or 15 percent when the partner runs the sale, paid quarterly on cash collected. Introductions are registered for 90 days, renewals carry no fee and nothing is paid per patient. The full terms are on the partner page.
