Key points

Summary

A clinic turns more enquiries into bookings by replying within the hour, putting the price and the next available time in the first reply with a link to book and pay, and following up every stalled thread on a fixed schedule. It measures four numbers, reply time, reply to booking, deposit paid and attendance, and improves the weakest one first.

The enquiries already arriving fill your diary with confirmed, paid visits when each gets a reply within the hour with the price and a time to book, and a follow-up if it stalls. Each step below can be measured and improved within a month.

The enquiry funnel has five steps

An enquiry arrives, the clinic replies, the patient is offered a time, the patient books and pays a deposit, and the patient attends. Each step loses some people, and the losses multiply.

A clinic that replies to 90% of enquiries, books 50% of those it replies to and sees 90% of bookings attend turns 100 enquiries into about 40 visits. Raising the middle figure from 50% to 60% adds eight visits from the same enquiries, with no extra advertising.

Reply within the hour

In a study of 1.25 million online sales leads across 42 US companies, firms that tried to make contact within an hour were nearly seven times as likely to qualify the lead as firms that waited even an hour longer, and more than 60 times as likely as firms that waited 24 hours or more.1

An audit of 2,241 US companies found that 23% never answered a web enquiry, and those that did took 42 hours on average.1 The research covers business in general, and the same hour is a clear target for a clinic.

What the first reply should contain

Write the first reply so the patient can decide at once. Name the right service and clinician, give the price, offer the next available time with one alternative, include a link to book and pay, and end with a single question.

Across documented studies of online checkout, the average abandonment rate is 70.22%, and among shoppers who abandoned for reasons other than browsing, 12% said they could not see or calculate the total cost up front.4 A price in the first reply answers the question the patient would otherwise leave to ask.

The booking step should be short. wai Checkout puts every price on the page, shows the earliest time first and takes a booking in three taps, with payment through the clinic's own Stripe account.5 The full set-up is in our guide to online booking for a clinic website.

Patients want to book themselves

In a survey of 2,338 US healthcare consumers in late 2018, 40% of millennials said they choose providers that let them book, change or cancel appointments online, against 19% of baby boomers.2 In a 2020 survey of US patients, 74% said they were likely to use online chat or texting to give check-in information before an appointment if it was offered.3

The same 2020 survey found that 64% of US patients were likely to switch provider if their expectations for handling COVID-19 concerns were not met.3 The figure is specific to the pandemic, and it shows how much patients weigh the way a clinic looks after them.

Following up stalled threads

A stalled thread is an enquiry that received a reply and then went quiet. Send a short follow-up on day one, day three and day seven, each offering a time and the link again, and close a thread with no reply after the third message politely.

wai Admin reads each enquiry and drafts the reply that guides the patient toward the right visit, and drafts the follow-up for stalled threads, looping in a doctor when anything turns clinical.6 The team approves each one before it sends. Deposits at booking protect the diary afterwards, covered in our guide to payment links and deposits.

Where to start

Pull last month's enquiries and record, for each, the minutes to first reply, whether a time was offered, whether it booked and whether a deposit was paid. Those four columns show where the funnel leaks.

Fix the weakest step first. Often that is reply time out of hours, covered in our guide to after-hours enquiries, or a first reply without a price. Then add the three-step follow-up and measure again after four weeks.

Bring a month of your own enquiries and see where the funnel leaks and how drafted replies and follow-up close it.

Frequently asked questions

What is a good enquiry-to-booking rate for a private clinic?

It varies by specialty, price and channel, so the useful benchmark is the clinic's own last month. Measure it weekly and improve the weakest step first.

Should the price go in the first reply?

Yes. A price in the first reply answers the question most patients would otherwise ask next, and hidden cost is a documented reason people abandon online checkouts.4

How fast should a clinic reply to an enquiry?

Within the hour wherever possible. Cross-industry research found contact within an hour made a lead nearly seven times as likely to qualify as contact even an hour later.1

How many times should a clinic follow up?

Three times is a sensible default, on days one, three and seven, each with a time and a link. After that, close the thread politely and leave the door open.

Do deposits put patients off booking?

A deposit taken in the same step as the booking, with a clear cancellation policy, is part of the price the patient already sees, and it tells the clinic which bookings are firm.

Does the AI chase patients on its own?

No. wai drafts each reply and follow-up in the clinic's voice, and a person at the clinic approves it before it sends.6
