Summary

An AI receptionist for a dental clinic should send each patient's recall when it falls due, book hygiene and exam visits together, follow up treatment plans that were accepted but not booked, take deposits for long appointments and keep emergency slots for the day. Every message is drafted for the team to approve, and anything clinical goes to a dentist.

Chairs stay full weeks ahead when each recall and plan follow-up goes out at the right moment with times already held. Most of that diary comes from patients the practice has already seen.

Recalls are the practice's diary

NICE guidance on dental recall says the shortest interval between oral health reviews should be 3 months and the longest 24 months for adults, or 12 months for under-18s, and that the dentist should discuss the interval with the patient and record it.1 A practice of a few thousand patients has a recall falling due almost every working day.

The receptionist reads the interval from the record, drafts the recall a few weeks ahead with two suggested times, and holds them. The team approves the batch each morning. A patient who does not reply gets a second message a week later, then a call from the front desk.

Hygiene and exam, booked together

Look for a hygiene slot next to the exam, offer the pair in one message and hold both until the patient answers. The patient makes one trip.

A patient who accepts a plan for a crown or a course of periodontal treatment often leaves without the next visit booked. A drafted follow-up on day two, with the next stage, the price from the plan and two times, brings many of them back into the diary.

Missed appointments and reminders

A register study of 2,513,376 public dental appointments for under-18s in Helsinki between 2006 and 2020 found 7.4% were no-shows, falling from 9.9% to 5.8% over the period, and 5% of patients accounted for 21.8% of all no-shows.2 Remind those patients earlier and confirm twice.

At a dental school in India, on-time attendance was 79.2% among 96 patients sent a text reminder against 35.5% among 110 who were not.3 In a randomised study of 318 families at a US paediatric dental clinic, voice reminders produced fewer no-shows than texts, 8.2% against 17.7%.4 Across 21 randomised studies in many settings, digital reminders cut no-shows from 21% to 15%.5 Ask each patient how they prefer to be reminded. See reducing no-shows.

Deposits and emergency slots

Take a deposit at booking for crowns, implants and cosmetic work, with the cancellation policy in the same message. The payment link goes with the drafted confirmation, and the team approves both together. See payment links and deposits for the wording.

Hold a fixed number of emergency slots each day and release unused ones in the afternoon. Messages about pain, swelling, trauma or bleeding after an extraction go straight to a dentist with the thread attached. Fixed wording on every channel tells a patient with swelling that affects breathing or swallowing to contact emergency services at once.

How wai runs the dental front desk

wai Admin keeps email, web forms, WhatsApp and calls in one thread per patient, answers missed calls with a drafted text, and handles booking, reminders, deposits and waitlist backfill. Booking reads each dentist's busy times from Google Calendar, Outlook or Apple Calendar, so patients are only offered open times.6 Every message is drafted in the practice's voice and approved by the team before it sends, and anything clinical goes to a dentist with the full story attached.6

In the surgery, the dentist's note can be drafted during the appointment for the dentist to review and sign, covered in AI scribes for dentistry. The recall interval the dentist records then drives the next reminder.

Where to start

Export the patients whose recall is overdue and the accepted treatment plans with no next visit booked. Those two lists fill the diary fastest. Draft one recall and one plan follow-up in the practice's voice and agree who approves them.

Then set the number of emergency slots per day, write the emergency wording with a dentist, and ask every patient at their next visit how they prefer to be reminded. Measure recall bookings, plan conversions and no-shows monthly.

Bring your overdue recall list and a week of enquiries, and see the drafts and the held slots on your own diary.

Frequently asked questions

Can an AI receptionist send dental recalls?

It can draft them. wai drafts each recall in the practice's voice with suggested times held, and the team approves the batch before anything sends.6

How often should dental recalls go out?

At the interval the dentist sets for each patient. NICE guidance gives a range of 3 to 24 months for adults and 3 to 12 months for under-18s.1

Are text reminders better than phone calls for dental patients?

It depends on the patient. One dental study found texts raised on-time attendance sharply,3 and another found voice reminders outperformed texts.4 Ask each patient which they prefer.

Does the AI handle dental emergencies?

No. Messages about pain, swelling, trauma or bleeding go to a dentist with the conversation attached, and fixed wording points anyone with swelling that affects breathing or swallowing to emergency services.

Should a dental practice take deposits?

For long appointments such as crowns, implants and cosmetic work, a deposit at booking with a clear cancellation policy protects the chair time.

Does it work with our calendar?

Booking reads each dentist's busy times from Google Calendar, Outlook or Apple Calendar, so patients are only offered open times.6 It reads busy times only and does not write into a dentist's own calendar. If the practice runs its diary in another system, bring it to the demo and we show you how it fits, live.
