Introducing wai Checkout, free online booking and payments for any clinic

By the wai team

We are introducing wai Checkout, a free booking and payment page any clinic can put on its own website in about five minutes.

You paste your website address and we read every service, price, clinician and location you already publish, then lay them out for you to approve. You connect your Stripe account and copy one line of code onto your site. Patients then book and pay in three taps, on a page that carries your name, and the money settles into your own Stripe account with you as the merchant of record. Card and Apple Pay are supported from the first booking.

wai Checkout is available today at wellnessa-i.com/checkout. It is free to use, with no subscription, no contract and no limit on bookings.

Fifty seconds, end to end. A clinic pastes its website, connects Stripe and copies a line. A patient books, pays and gets the confirmation.

Why we built it

Most clinic websites end at a phone number and an enquiry form. A patient who has decided to come to you at nine in the evening leaves a message and waits until the morning, and the ones who were only half decided do not wait. Where the fee is not published, they have to ask before they can decide, which adds another day. And a booking with no payment behind it is a diary entry that a patient can quietly forget.

The tools that fix this exist, and they are priced and shaped for businesses that sell a haircut or a sales call. Clinics need the same three taps plus the things a haircut does not have, which are a deposit that survives a cancellation policy, an intake form that arrives at the right moment, a record that follows the patient, and an agreement that satisfies a compliance review.

A booking tool for a clinic is a payment product, a scheduling product and a compliance product at once. Build two of the three and nobody can use it.

What the setup looks like

The setup is the part clinics do not do, so it is the part we spent the most time on. Nothing is typed twice and nothing is invented. We read only the pages you publish, show you what we found with the price beside each service, and change nothing on your site until you say so.

Reading the site. Every page you publish, once, with the services and prices found on each one.

Everything is editable. Service, price, duration and clinician on one screen. Change a price and it is live on your site the same second.

What the patient sees

Three screens. What, when, pay. Every service carries its price and its next free time, the soonest time is already selected so a patient who agrees with it never opens a calendar, and a returning patient is recognised from their mobile number and pays with one tap on Apple Pay.

Three taps. These are the real screens in demo mode. Nothing is charged.

What happens after they pay

The intake form is asked after the payment and never before it. A long form in front of the money is the most expensive thing on a clinic booking page, so wai Checkout takes the appointment first and asks the questions second, by text message, in five questions that are optional except consent.

The intake form. Sent by message once the payment clears, answered in under a minute.

Two emails go out. The patient gets where to come, what to bring, the cancellation terms, the receipt and one press to add it to a calendar. Your desk gets a different email, because a desk needs a different thing from it, which is who is coming, what they booked, what they paid and the one line they typed about why.

The email your desk gets. With the bookings that were started and not finished at the foot of it.

You see the bookings that did not finish

wai Checkout posts a webhook when a booking is started, again when it is abandoned and again when it is paid, so your own systems know as soon as we do. If you have no system to send it to, the unfinished ones arrive at the foot of your booking email with the number the patient typed and the service they had chosen.

70.22%is the average documented abandonment rate for online checkouts. Clinic booking is not retail and we do not claim this number as our own, but the shape is the same. Someone decides to come to you, gets most of the way there, and something interrupts them.

Every patient who books gets a profile

A wai profile is the patient's own record, free and theirs to keep, holding their visits, results and letters in one place. The clinic they booked with is already in it, which means the second booking is one tap, nothing is typed twice, and the repeat booking starts from you rather than from a search.

What it costs

wai Checkout is free, with unlimited bookings, unlimited services and as many pages as you like. Card payments are processed by Stripe at Stripe's published rate and settle into your account. There is a small wai Checkout mark at the foot of the widget and the confirmation email. There is no subscription, no contract, no set up fee and no call to get started.

Compliance

You sign a business associate agreement with us before anything goes live, and the system is built to HIPAA and SOC 2. We store the service that was booked and never the reason for the visit. Data stays in the United States, encrypted, with a full audit log. Card details are handled by Stripe and never touch our servers, terms are shown before payment, and the widget meets WCAG 2.2 AA.

Questions we are asked

How much does wai Checkout cost?

wai Checkout is free. There is no subscription, no contract and no set up fee, and there is no limit on bookings or services. Card payments are processed by Stripe at Stripe's published rate and paid into the clinic's own Stripe account.

Do I need a website for it to work?

No. wai Checkout builds your booking page from your website if you have one, and you can also use it as a hosted link or a QR code with no website at all. Clinics send the link in a text message or put the code on the front desk.

Where does the money go?

Into your own Stripe account. You stay the merchant of record, wai never holds patient payments, and payouts run on your Stripe schedule.

Is it HIPAA compliant?

wai signs a business associate agreement with your practice before anything goes live, and the system is built to HIPAA and SOC 2. wai Checkout stores the service that was booked and never the reason for the visit. Card details are handled by Stripe and never touch wai servers.

How long does setup take?

About five minutes. You paste your website address, tick the services and prices we found, connect Stripe on Stripe's own form, and copy one line of code onto your site.

Can patients pay a deposit instead of the full fee?

Yes. Each service can take the full fee, a deposit, or nothing at all, and you set that per service from one screen.

Does it work with my calendar?

It syncs with your calendar where you have one and runs on weekly opening hours where you do not. There is also a request a time fallback you confirm with one tap.

Can an AI assistant book an appointment for a patient?

Yes. Services, prices and availability are published in a form an assistant can read and book from, with the same payment and the same confirmation, and there is nothing to set up.
