wai alongside Doctolib, what moves and who moves it

Summary

wai has no native connection to Doctolib today, so nothing passes between the two systems on its own. The clinician signs the note in wai and copies it in one click as plain text into the patient's Doctolib record, and every signed letter downloads as a PDF with the signature to attach there or send.

Doctolib counts 100 million patients and 580,000 healthcare professionals across more than 120 specialities among its users, with 25 million appointments booked through it every month.2 A clinic that runs on it does not have to move anything to use wai. The consultation is captured in wai, the clinician signs the note there, the signed text goes into Doctolib by copy and the letters go in as signed PDFs. This page sets out exactly what moves between the two, who moves it, and what can run in wai beside Doctolib from the first day.

What is built today, and what is not

wai has no native integration with Doctolib. No code in wai reads from Doctolib or writes to it, and nothing is synced between the two in the background. The integrations page lists the connections wai has live or built, and Doctolib is not one of them.

wai's records layer is built to read a patient's context from a record system and to write signed work back through an approval gate, falling back to copy and print where a system does not take the write. No connection in it is live at any site today, and none is built for Doctolib. Every write, wherever one is switched on, waits for the clinician's approval first.

Doctolib describes its own suite as covering appointments, patient communication, electronic health records and care coordination, in France, Germany, Italy, the Netherlands and the United Kingdom.1 wai runs the note, the letters, the front desk and the follow-up as one system beside the diary the clinic already keeps.

A clinic day alongside Doctolib

Take a 52-year-old who chooses a 9.20 appointment on Doctolib for headaches that have come and gone for three months. The appointment sits in Doctolib as it always has, and the reminder goes from there.

At 9.20 the clinician opens the consultation in wai and talks to the patient in French. wai drafts the note in English for the record. The clinician reads it in the SOAP view, corrects the duration, which the draft gave as three weeks, adds that the headaches wake the patient twice a week, confirms the suggested ICD-10 code and signs.

One click copies the signed note as plain text, and the clinician pastes it into the patient's Doctolib record. The referral letter to a neurologist, drafted from the same consultation with the clinician's question for the specialist, is signed in wai, downloaded as a PDF with the signature and attached to the Doctolib file before it is sent.

The patient's summary goes home in French, with the plan in plain words. The follow-up in six weeks is offered in Doctolib, where the clinic keeps its diary, and wai tracks the referral until the neurologist's appointment is confirmed. This is an illustrative example, not a real patient.

The note and the letters, signed by the clinician

Nothing reaches Doctolib or the patient until the clinician signs it in wai. One captured note can be read as SOAP, problem-oriented, narrative, a bullet summary, a handover or in full detail, and the clinician copies the view that suits the Doctolib record. The copy is plain text, so it lands cleanly in any note field.

Letters come from the same consultation. A letter to the patient with a copy to their regular doctor, referral letters that carry the questions for the specialist, results letters, medication change letters, fit-to-fly letters and medico-legal reports are drafted for the clinician to sign, and each signed letter downloads as a PDF with the signature, ready to attach in Doctolib or send.

Codes are suggested from the note, ICD-10 and SNOMED CT, each shown with the line of the consultation it rests on, for the clinician to confirm. Procedure and billing codes stay with whoever assigns them today. What can run in wai beside Doctolib

The front desk can run in wai while Doctolib keeps the diary. Calls, email, web forms and WhatsApp land in one thread per patient, replies are drafted in the clinic's voice, and a person approves each one before it is sent.

Where the clinic wants it, booking can move too. wai booking links read each doctor's Google, Outlook or Apple calendar, cancellations backfill from the waitlist and reminders go out. Deposits, invoices, memberships and payment links run through the clinic's own Stripe account. Or the clinic keeps booking in Doctolib and uses wai for everything after the appointment is made.

After the visit, results reach the patient with the doctor's own comment and a plain explanation of each marker, recalls go out for the review or the repeat test with each message approved by a person, and the patient app holds results, letters, messages and payments in the patient's language. Nothing is switched off on the first day. The clinic management software page covers the desk in full.

Languages, French, German, Italian and Dutch included

wai hears 60 languages, among them English, French, German, Italian, Dutch, Spanish and Portuguese, so a Doctolib clinic in France, Germany, Italy or the Netherlands can consult in the patient's own language. English can be mixed into the same consultation with Spanish, French, Portuguese, Russian, Italian, Dutch, German, Hindi or Japanese.

The signed note is written in English for the record, or in another language the clinic chooses, such as French or German, and the patient's summary can be translated into their own language beside it, with emergency numbers kept exactly as written. More in multilingual consultations.

The evidence behind wai's method

The note is one part of the day the evidence measures. In a randomised trial of 238 outpatient physicians across 14 specialties at UCLA Health, the ambient scribe with a significant effect cut the time spent writing each note by about 41 seconds, against 18 seconds in usual care.3 At The Permanente Medical Group, 3,442 physicians used an ambient scribe across 303,266 encounters in its first ten weeks.4 wai is built on that finding, so it takes on the letters, the replies, the booking and the follow-up as well as the note.

A draft stays a draft until a person signs it. wai holds every draft until the clinician signs it, and every reply until a person at the clinic sends it, which is also why the copy into Doctolib happens after signing and never before.

The patient's own language matters. In a systematic review of 33 studies, 76% found at least one outcome better when patient and physician shared a language other than English.5

Measured in a working clinic. At The Wellness in London, which runs on wai every day, every clinician has 15 hours a week back, as published in the customer story.6

Where to start

Week one, one clinician, Doctolib unchanged. Capture each consultation in wai, sign the note, copy it into Doctolib and attach the signed letters as PDFs. Count the minutes from the end of each consultation to a signed note in the record.

Week two, add the front desk. Route calls, email, web forms and WhatsApp into wai, keep booking in Doctolib, and decide at the end of the fortnight whether booking links and deposits should move as well. The switching checklist covers what to agree first, and wai Clinicians covers the scribe. Technical teams can read the developers and MCP page, and clinics on other systems can read wai alongside MEDITECH or wai alongside Practice Fusion.

Frequently asked questions

Does wai integrate with Doctolib?

No. wai has no native connection to Doctolib today. The clinician signs the note in wai and copies it as plain text into Doctolib, and signed letters download as PDFs to attach there.

Can we keep Doctolib for booking?

Yes. Booking can stay in Doctolib while the note, the letters, the front desk thread and the follow-up run in wai. If the clinic later wants wai booking links and deposits, they can be added without switching Doctolib off.

How does the note get into Doctolib?

The clinician signs the note in wai, chooses the view, copies it in one click as plain text and pastes it into the patient's Doctolib record. Letters go in as signed PDFs.

Where is patient data hosted?

Each clinic's records are hosted in its own country, under its rules. wai holds a SOC 2 Type II report, sent on request.

Does wai work in German or Dutch?

Yes. German and Dutch are among the 60 languages wai hears, and both can be mixed with English in one consultation. The record can be written in English or in the clinic's own language, and the patient's summary in theirs.

What changes for the clinic on the first day?

Nothing is switched off. Doctolib keeps the diary and the file, and wai adds the signed note, the letters and, where the clinic wants it, the front desk.
